The Missing Role: The £70,000 Job Every Small Business Needs But Can't Afford

A job advertisement crossed my desk this week for a role called Head of Business Systems and AI. The salary was £70,000.

I read the description carefully. And two things became immediately clear.

First, the role described something genuinely valuable, the kind of operational, commercial and data capability that makes a real difference to how a business runs.

Second, almost every small business in the country needs exactly what that role does. And almost none of them will ever be able to justify hiring for it.

What the role actually does

Strip away the corporate language and the job description covers six things. I'll translate each one into plain English.

Commercial decision support. Making sure the decisions that drive the business, pricing, investment, supplier selection, where to spend the marketing budget, are based on accurate information rather than gut feel. Building the dashboards and data that let a business owner see what is actually happening, not what they hope is happening.

AI and automation. Finding the manual work that doesn't need to be manual. Quote generation that takes three hours when it could take twenty minutes. Supplier comparisons done on spreadsheets when a tool could handle it in seconds. Admin processes that consume time every week without adding any value. Identifying them and removing them.

Systems management. Making sure the tools the business uses, CRM, financial systems, operational software, are properly configured, properly used and actually talking to each other. Most small businesses have systems that are either badly set up, barely adopted, or both. The cost is invisible until something breaks.

Procurement and supplier management. Knowing what you're actually paying, whether those terms are still competitive, and where the cost savings are hiding. Most businesses with established supplier relationships haven't properly reviewed them in years. The drift is expensive and largely invisible until someone looks.

Performance reporting. The handful of numbers that tell the truth about how the business is performing, margin by product and customer, cashflow position, sales pipeline, marketing return. Without these, a business owner is flying without instruments. With them, the decisions get significantly better.

Transformation and change. The ability to identify what needs to change, build a plan, and actually see it through, not just diagnose the problem and write a report that gets filed away. This is the rarest capability of all. Most operational improvements in small businesses never get implemented because the person doing the diagnosing is also the person running the business.

The real cost of hiring for it. £70,000 salary. Employer NI at 15% adds £10,500. Pension minimum 3% adds another £2,100. Before a car allowance, benefits or recruitment fees, you're at £82,600 per year. For a small business, that number isn't a consideration. It's a non-starter.

What it costs when it's missing

The absence of these capabilities doesn't appear on a P&L. It shows up in other ways, slower, harder to diagnose, easy to live with until suddenly it isn't.

None of these are dramatic. That's precisely why they persist. Each one individually seems manageable. Together, compounded over months and years, they represent a significant drag on profitability, growth and the owner's quality of life.

The small business version of the same problem

That job description was written for a business large enough to hire for the role. But the same capabilities matter at a fraction of the size.

A business turning over £300,000 needs to know its true margin per product just as much as one turning over £3,000,000. A business with five suppliers needs to manage those relationships as carefully as one with fifty. A business with one salesperson needs a pipeline and a conversion rate just as much as one with a sales team.

The difference isn't whether these capabilities matter. The difference is that the small business can't afford to hire for them, and the owner is already carrying too much to add them to their own plate.

What's changed

What has changed in 2026 is that the combination of commercial expertise and AI tools means these capabilities are now accessible to small businesses in a way they simply weren't five years ago.

The analysis that used to require a team can now be done with the right tools pointed at the right problems. The operational support that used to require a full-time hire can now be provided on a flexible, fractional basis, working directly with the business, on its real numbers, without the overhead.

That's not a sales pitch. It's a structural shift in what's available. And most small businesses haven't caught up with it yet.

Where to start

The right starting point isn't trying to address all of these gaps at once. It's identifying which one is costing the most right now and fixing that first.

If your margin feels thin but you can't explain why, start with a proper margin analysis by product and customer.

If your cash position surprises you at the end of the month, start with cashflow visibility and a 30-day forward view.

If you're paying for AI tools that nobody is really using, start with an audit of what you have and a plan to make one of them actually work.

If your supplier costs haven't been reviewed properly in two years, start with a procurement review.

If your business can't run without you, start with a dependency audit.
